Academic Personnel Officer [United States]


 Under the general direction of the Chief Administrative Officer, Chair, and Vice Chair for Academic Personnel, this position bears primary responsibility for all phases of payroll and personnel and HR transactions for the approximately 30 full-time health sciences compensation Faculty in the Department of Microbiology, Immunology and Molecular Genetics and the academic appointees who are employed in the MIMG labs. The incumbent is responsible for academic personnel matters such as, new position creation, recruitment, hiring, payroll, visa, labor relations, and academic advancement dossier submissions. Responsible for accuracy, appropriateness and compliance for all payroll/personnel transactions. Serve as departmental liaison to other key University administrative units to coordinate these actions (School of Medicine Dean's Office, Campus Human Resources, College Dean's Office, College Personnel Director, Dashew Center, Central Resource Unit, etc.)

Required/Preferred

1. Recent demonstrated ability to perform and coordinate necessary administrative actions in accordance with policies and regulations of the University for payroll, personnel and labor relations activities for academic personnel. Demonstrated skill in the development, preparation, and submission of dossiers for academic appointment and advancement.

2. Detailed working knowledge of procedures and policies concerning international employees visa's, establishing permanent residency.

3. Working knowledge of academic values, priorities and expectations, familiarity with University culture, demonstrated ability to understand and apply goals of the Department, grasp sophisticated and/or complex ideas and issues, discern implications of various actions.

4. Skill in analyzing information, practices, or procedures to define problem or objective, identify relevant concerns or factors, formulate logical and objective conclusions and recognize alternatives and their implications.

5. Skill in communicating (verbally, electronically, written form) to convey accurate and timely information to individuals at various organizational levels; ability to effectively represent the needs/views of the PI or Department to upper level campus administration, other University administrators, the public, etc. efficiently, with tact and diplomacy.

6. Demonstrated ability to develop professional and effective working relationships with staff, faculty, and administration, and to work as a member of a team.

7. Detailed knowledge of policies and procedures for all transactions connected with employment for academic appointees-recruitment, hiring, promotion, disciplinary/termination; Family Medical leave provisions, workers compensation, disability.

8. Knowledge of School of Medicine Academic Personnel Policies; Demonstrated familiarity with Health Sciences Compensation salary structures and policies, skill in use of School of Medicine tools for management of faculty salaries (FPM, MDS, etc.)

9. Strong writing skills; ability to create near final quality draft documents for CAO, Chair, Vice Chair, MRC.
