The Medical Records Manager establishes systems and procedures for the efficient distribution and use of medical records throughout the facility, coordinates record department with all other departments. Serves as liaison to promote good communications with all departments throughout the facility. Analyzes procedures, delegates duties, directs personnel and instills in them enthusiasm, and keeps the department abreast of new methods, technology, or regulations. EXAMPLE OF DUTIES: ( This list may not include all of the duties assigned)
- Plans, coordinates, and directs Medical Records staff. Responsible for work schedules, assignments, coverage and daily operations of medical staff.
- Orient and train assigned personnel.
- Assist with establishing policies and procedures for the distribution and use of medical records. Implements new policies and procedures to revamp old and less effective ones.
- Ensures that medical records are complete, accurate, secure and readily available.
- Ensures timely and accurate filing of medical documents in patient charts.
- Possesses the ability to contain confidential information regarding the release of medical records to various organizations. (Lawyers, third party payers, other facilities, etc.)
- Ability to purge and retrieve stored medical records.
- Identifies problems, reports them and offers suggestions for improvement.
- Assists with data collection, reports and compilation of statistical data from medical records.
- Attends required meetings and participates in committees as requested.
- Enhances professional growth and development through in-service meetings, education programs, conferences, etc.
- Maintains patient confidentiality.
- Performs related work as required.
Knowledge, Skills, and Abilities
Knowledge of the methods and procedures of medical records classification, indexing, quality control and assessment. Knowledge of medical terminology and computer systems. Knowledge of medical records regulations and laws regarding appropriate release of information. Skill in identifying problems and recommending solutions. Skill in establishing and maintaining effective working relationships with staff, patients, and the public. Ability to maintain confidentiality of sensitive information. Ability to exercise initiative, judgment, and decision-making. Ability to prepare and maintain detailed record files, reports and other correspondence.
EDUCATION: RHIT Program Required, RHIA Program Preferred
EXPERIENCE: 3 years experience in medical records.
CERTIFICATE/LICENSE: RHIT, RHIA Preferred
