DEPARTMENT: Executive Office

REPORTS TO:! SVP/General Counsel and SVP/Director of Business & Operations Planning

Provide administrative support to two SVPs, including meeting preparation, legal contract and document proofreading, and data input, and handle office-wide administrative services.

DESCRIPTION:
Administrative Assistant
Ø Perform administrative duties for two SVPs , including but not limited to answering phones and tak ing messages; ordering food service and arranging logistics for meetings; maintaining calendar s; and prioritizing and schedul ing meetings .
Ø Assist Business & Operations Planning staff in preparation and distribution of planning reports.
Ø Maintain filing system for planning, leasing and legal records.
Ø Generate own and draft correspondence for SVPs; edit correspondence for spelling, format and content; prepare reports and Board level material as directed.
Ø Proofread contracts and other legal and business documents.
Ø Support ! two SVPs in administering department budgets . Prepare and cop! y vouchers and expense forms and reports. Input and process purchase orders and invoices through financial management system ( Yardi ), and monitor petty cash.
Ø Assist Executive Assistant to the President, Trinity Real Estate with logistical arrangements and material preparation for Committee and Board meetings.
Ø Serve as back-up and support for Executive Assistant to the President, Trinity Real Estate, including h andl ing telephone overflow for Real Estate Executive Office , and providing administrative and other support services to that department, as needed.

Office Administrator
Ø M aintain Trinity Real Estate office-wide filing system ; maintain inventory and handle purchasing of office supplies ; and c onduct all other necessary office functions .
Ø As department Records Coordinator, serves as liaison to Archives to ensure adherence to records management policies and practices, including disposition of inactive department records; managi! ng retention schedule; coordinating with offsite vendor to send and retrieve files; and maintaining inventory of inactive business records.
Ø Process capital and operating expense purchase orders for Trinity Real Estate departments, as necessary.
Ø Other duties, as assigned.

REQUIREMENTS:
Skills and Knowledge :
Ø Ease in working with internal and external technical experts, including appraisers, outside counsel, staff lawyers, financial analysts, etc.
Ø Multi-tasking skills and quick and accurate turnaround essential.
Ø Excellent office/clerical/administrative skills
Ø Microsoft Office proficient, esp. Word, Excel and PowerPoint
Ø Ability to generate own correspondence
Ø Exceptional oral and written communications skills, esp. in preparation of written presentations and reports organizational and planning skills
Ø Privy to confidential information and interpersonal encounters requiring discretion, sensi! tivity, tact and judgment

Education, Experience, and Creden! tials :
Ø Three years of administrative experience in real estate business environment
Ø Working knowledge of basic bookkeeping procedures; one year of experience preferred
Ø Working knowledge and experience with le gal documents strongly preferred
