The Secretarial Supervisor will receive a generous total compensation package. Bonuses are awarded in recognition of individual and firm performance. As a Secretarial Supervisor at Latham, you will contribute your expertise to supervise the secretarial programs and staff in the New York office. The Secretarial Supervisor develops and supervises his or her staff by performing a multitude of responsibilities, including hiring, assignments, training, evaluation, discipline and termination while accomplishing these and other critical functions: Supervises and develops secretarial staff. Organizes, assigns, delegates and coordinates the work of the staff to ensure department objectives are met timely and accurately. Monitors workflow and coordination of legal secretarial assignments based upon daily firm and client needs. Provides coaching to secretarial staff. Meets and maintains firm staffing goals by establishing effective and efficient secretarial assignments for attorneys and paralegals and recommending appropriate office moves. Coordinates with other legal secretarial supervisors and departmental managers to maximize staffing assignments for overflow, overtime, and special project coverage. Identifies training needs/ issues and supports the development, implementation and assessment of on-going secretarial training programs; assists with the orientation of all new secretaries. Establishes effective communication with the secretarial staff regarding firm policies, procedures and expectations. Conducts secretarial meetings as necessary. Makes recommendations to the office leadership team in the hiring, development and potential terminations of legal secretaries. Manages the annual performance review process, generates performance evaluations for staff, and recommends salary increases for legal secretaries. Approves and manages secretarial attendance via Kronos. Monitors daily transmission of timesheets for each attorney, paralegal and secretary. Ensures submission of client bills are in accordance with firm deadlines. Facilitates conflict resolution among attorneys, paralegals, secretaries and staff. Completes special projects on various issues when needed. Promotes effective work practices, works as a team member and shows respect for co-workers. As a Secretarial Supervisor, you will be expected to apply your organizational and communication skills while displaying a positive, high-energy attitude. The successful candidate must have excellent leadership, interpersonal and organizational skills. A Bachelor's degree is preferred; eight years of relevant human resources experience in a legal or professional services environment may be considered in lieu of a Bachelor's degree.
