Assistant Registrar


 
Job Summary:


As a member of the Kaiser Permanente Bernard J. Tyson School of Medicine (KPSOM) Office of Enrollment Support Services, the Assistant Registrar partners with the Director of Student Systems/Registrar to oversee the daily operations and functions of the Registrar's Office. The Assistant Registrar should demonstrate strong organizational and interpersonal skills, be detail-oriented, self-motivated, and be able to work independently and as part of a team. This position also ensures the integrity of academic and student records, understands compliance in working with internal and external constituents and responsible for applying and interpreting all policies and regulations to student record functions.


Essential Responsibilities:

  • Provides supervision and oversight of the Office of Enrollment Support Services staff.

    Manages student records in accordance with federal and state regulations, including but not limited to transcript requests, verifications of enrollment, loan deferments, and ongoing academic record maintenance.

  • Coordinates the records management for all active and former student files.

  • Works in collaboration with Student Affairs and the Office of Medical Education Leadership to audit credit hours, update curriculum, and prepare and manage student registration.

  • Coordinates the receipt and processing of final grades, and monitors compliance with grading deadlines.

  • Processes grade changes and monitors grade appeal processes.

  • Tracks, audits, and communicates degree requirements and progress toward degree.

  • Processes degree conferral (including requirement fulfillment, degree processing, and diplomas) and works collaboratively with the Office of Student Affairs to produce a successful commencement ceremony.

  • Supports the preparation and maintenance of reports related to enrollment, degree progress, and graduation.

  • Manage the maintenance of the Registrar's Office online presence, including web pages, calendars, and forms.

  • Works with the Director of Student Systems/Registrar to provide guidance and answers to staff and students about all aspects and processes for the Office of the Registrar.

  • Assists in the development and maintenance of appropriate data standards and processes data requests.

  • Works with academic and administrative offices to gather information, dates, and details to produce the catalog and course schedule.

  • Other duties as assigned.

Basic Qualifications:

Experience

  • Minimum three (3) years of experience in the management of academic records in a college environment.

  • Minimum two (2) years of supervisory skills and experience.

Education

  • Bachelors Degree

License, Certification, Registration

  • N/A

Additional Requirements:

  • Demonstrated competency in administering services and operations in a college/university environment, including demonstrated skill in problem-solving and change management.

  • Experiencing working in a medical school registrar's office.

  • Experience with student information systems and data management.

  • Commitment to providing high-quality customer service.

  • Ability to work in a collaborative results-oriented environment.

  • Consistently exercises initiative, tact, diplomacy, and professionalism.

  • Evaluates and resolves problems.

  • Current knowledge of educational laws and policies pertaining to education records.

  • Ability to effectively use computer and information technology.

Preferred Qualifications:

  • Masters degree in Higher Education, Business Administration, or another related field preferred.

  • Familiarity with higher-education issues, organizations, and information resources preferred.

  • Excellent verbal and written communication skills and ability to foster teamwork, delegate, coordinate and carry out multiple tasks.
